The Event Coordinator has a critical role within the organization. It includes the planning, organization, and execution of a variety of events, including conferences, product launches, trade shows, product demos, technology roadshows, corporate meetings, and other company events. The Event Coordinator will work closely with internal stakeholders, vendors, and contractors to ensure successful event delivery while keeping within budgetary constraints.
Ideal candidates for this role will be detail-oriented, highly organized, and forward-thinking with excellent communication skills and strong multitasking abilities. The Event Coordinator should be a team player with at least 2 years of experience managing conference booths, planning client-facing classes/workshops, and creating engaging product demo events. This role is both administrative and execution heavy. Your tasks will revolve around event planning coordination. Candidates must possess event management/project management planning skills.
Event Coordination:
- Manage event logistics, including venue booking, catering arrangements, and equipment allocation
- Make travel arrangements for event attendees, speakers, and staff
- Collaborate with vendors and suppliers to ensure timely delivery of services and materials
- Track event timelines and deadlines, ensuring tasks are completed on schedule
- Assist with on-site event setup, registration, and logistical support during events
- Ensure event success from planning to execution
- Evaluate event successes, challenges, and ROI (Return on Investment) in post-event reports
Communication and Client Support:
- Serve as the primary point of contact for event-related inquiries from FLYMOTION leadership, event attendees, and collaborating vendors.
- Manage attendee registrations and external event communications
- Collect feedback and evaluations from participants to improve future events
- Be comfortable with forward-facing client and vendor communications
Team Collaboration:
- Work closely with the events management team to support the planning and execution of events
- Collaborate with cross-functional teams, including marketing, sales, and leadership, to ensure seamless event coordination
- Conduct team-wide event briefs to promote event awareness
Administrative Support:
- Maintain and organize event files, documents, and data
- Manage event calendars and schedules
- Handle incoming event inquiries and correspondence from email and website
- Prepare and distribute event-related materials, including agendas, presentations, and reports
- Track event budgets, expense reports, and invoices
